Practical Guide

How to Insert a Signature in Microsoft Word

A transparent PNG can be inserted like any other picture in Word. Use a copy of the document and verify the final PDF or DOCX before sharing it.

Updated

Prepare the File

Create a signature on a transparent background and save it somewhere private. A PNG is generally simpler than SVG for compatibility across Word versions.

Insert and Position It

  1. Open a copy of the Word document.
  2. Use Insert and choose the picture option available in your Word version.
  3. Select the signature PNG.
  4. Resize it from a corner handle so its proportions remain intact.
  5. Choose an appropriate text-wrapping option if the image needs to sit over or beside a signature line.
  6. Save a new copy, then export to PDF if the recipient requests a fixed layout.

Keep the Layout Stable

Place the signature in a table cell or near a fixed signature line when a document changes layout easily. Always review the final exported file because fonts, margins, and wrapping can differ between devices.

Privacy Reminder

A reusable signature image should be treated as personal material. Avoid embedding it in a public template or sending the standalone PNG when the completed document is sufficient.
